I Can See Some Users' Data But Not Others

If you can see call data for some team members but not others, the issue is usually related to roles, team assignments, or individual setup problems.

Check 1: Do you have the right role to see that user's data?

In Salestrail, what you can see depends on your role:

  • Owners can see all data across the organisation
  • Managers can only see their own data unless they are also assigned as a Team Admin
  • Team Admins can see data for users in the teams they admin
  • Users can only see their own data

If you are a Manager and cannot see a specific user's data, you need to be added as a Team Admin on the team that user belongs to. Ask your Owner to set this up in Dashboard > Team Management.


Check 2: Is the user assigned to the correct team?

If you are viewing a specific team's data, only users assigned to that team will appear. Go to Dashboard > Team Management and check whether the user is a member of the team you are viewing.


Check 3: Is the user in the user filter?

Check the user filter at the top of the Overview page. If the user is not selected in the filter, their data will not appear. Select them individually or choose All Users to see everyone.


Check 4: Has the user set up the app correctly?

Go to User Management and check the status columns for the affected user. A red dot in the Permissions or App Installed column means there is a setup issue on their device that is preventing calls from being tracked. 


Check 5: Has the user accepted their invitation?

If a user shows as Invited in User Management, they have not yet completed the sign-up process. Their data will not appear until they accept the invitation and install the app. Resend the invitation from User Management if needed.
